About the role:
We are seeking a proactive and organised Contract Coordinator to provide day-to-day operational and administrative support to Contract Managers, ensuring key contracted transport services across the Northwest are delivered consistently, efficiently and in line with agreed service levels and standard operating procedures. The role will build and maintain trusted relationships with key clients and protect account customer satisfaction, coordinating customer transport requests.
Location: Manchester (Trafford House)
Hours: 09:00 AM – 5:00 PM, Monday to Friday (37.5 hours per week).
Occasional out of hours work
Salary: £28,922.00
Responsibilities: Contract Support (80%)
Build and maintain positive relationships with drivers, acting as their primary point of contact for enquiries and services relating to key contracts.
Provide day-to-day support for Northwest key contracts, acting as a first point of contact for routine customer queries and service requests.
Ensure bookings inputted accurately into the booking and dispatch system.
Monitor dispatch performance to ensure bookings are dispatched promptly and efficiently.
Act as a link between the client(s) and internal teams, ensuring information is shared clearly and actions are followed through.
Resolve issues and complaints promptly and professionally.
Identify new opportunities that may develop into longer-term or expanded services.
Promote fair treatment of drivers by supporting equal access to work and maximise earnings.
Support Contract Managers in the coordination and delivery of services in line with service levels.
Liaise with internal operational teams to resolve service issues and ensure continuity of delivery.
Develop and maintain trusting relationships with clients to protect retention and reduce the risk.
Build a thorough understanding of each assigned client’s service needs and priorities.
Provide cover for specific contract accounts during periods of leave or absence.
Administration (20%)
Provide comprehensive administrative and clerical support to the Corporate Accounts team.
Perform data-entry tasks and maintain accurate records and handle documentation timely.
Create, maintain and reconcile financial reports, statements and invoices – ensuring accuracy.
Undertake ad-hoc projects and additional duties as directed by management.
Attend training sessions and staff meetings as required.
Report recurring issues (technical or service-related) to relevant teams or departments.
Adhere to all company policies, procedures and working practices.
Competencies & Skills:
NVQ Level 3 or equivalent qualification in Business Administration (Desirable)
Experience in a regulated or operationally fast-paced environment. (Essential)
Previous work experience supporting key contracts, corporate accounts or public-sector clients in a multi-site contract environment. (Desirable)
Experience working in the transport, logistics or fleet management sectors. (Essential)
Familiarity with CRM systems, booking platforms or workforce management tools. (Desirable)
Exposure to invoicing, reporting or billing processes. (Essential)
Familiarity with complaint investigation inputs such as booking/dispatch information, call recordings, location data or similar evidence sources. (Essential)
